LETTER OF ENQUIRY
An enquiry letter is what we send to a person or a company when we need more information about a product or service offered by that person or company. These letters are often written in response to an advertisement.
  • What is the intended purpose of the inquiry that I intend to write?
  • Who is the intended recipient ?
  • How can I let my recipient know that I am seriously interested in their product/service/job offer ?
    General Rules to Follow: 
    • Be polite .
    • Be clear and organized about what you want/need to know.
    • Express thankfulness for time and effort.

    The K.I.S.S. principle – keep it short and simple
    Sample letter
    Dear Ms Smith
    I am writing in response to your advertisement to enquire about the pub and restaurant placement in England . /I am writing to enquire about the pub and restaurant placement in England, as advertised by you.
    To start with, where in England/in which area of England is the workplace located? Could you also tell me which positions are available /you are seeking to fill, and how long a workday/how many hours a shift would be? As for accommodation, what would the three-month rent be in total? Finally , I was wondering/may I ask how much I could expect to earn/what the offered salary is.
    Being an 18- year -old school leaver from Estonia, I am eager to improve my English skills as well as gain work experience in catering services abroad . I would therefore appreciate it if you gave me more details about your job offer. Thank you for taking the time to answer my questions .

    Letter of application
    Make sure it is specific to both the organization and the job. Consider discussing the following topics in your letter of application:
    • How the organization’s personality and mission align with your own values .
    • How your background makes you a valuable asset to the role and to the organization.
    • What it is you hope to gain from working in this role.
    • What unique talents would you bring to this position ?
    • What specifically interests you about this position.

    I am an 18-year-old school-leaver from Estonia good at English and at connecting to young people. I have experience in arranging sports and other activities to younger students as I have participated in several local youth projects before . Being considered a hard-working person and a responsible team member , I am now seeking the post in Ireland (in order ) to gain experience in intercultural youth work, and to further improve my language skills.
    Could you tell me how many children I would be responsible for? I would also like to know when the camp takes place , and where it is located. Finally, how much can I expect to earn?

    complaint letter
    Imagine you are the person receiving customers' letters of complaints. This helps you realise that the person reading your letter is a real human being with feelings , trying to do their job to the best of their abilities. Your letter should encourage them to respond positively and helpfully to the complaint. No matter how mad you feel , aggression and confrontation does not encourage a helpful reaction to complaints.
    Good complaints letters with the above features tend to produce better outcomes:
    • Concise letters can be understood quickly.
    • Authoritative letters - letters that are well written and professionally presented - have more credibility and are taken more seriously.
    • Factual letters enable the reader to see immediately the relevant details, dates , requirements, etc., and to justify action to resolve the complaint.
    • Constructive letters - with positive statements, suggesting positive actions - encourage action and quicker decisions.
    • Friendly letters - with a considerate, cooperative and complimentary tone - are prioritised because the reader responds positively to the writer and wants to help.

    Sample letter
    Dear Sir or Madam ,
    I am writing to make a complaint/ to complain about the clothes I bought from your online shop a few days ago. There are several aspects of my purchase that I am not satisfied with.
    The first thing I would like to draw your attention to is the shipping cost, which appears to be much higher than given on your webpage. My second concern has to do with the quality of the clothes as one of the items has obvious defects on it. To make things worse , you seem to have jumbled up the sizes I ordered because none of the clothing items really fits me.
    I therefore suggest that you either replace the items or give me a full refund. I greatly appreciate your help and I look forward to hearing from you.

This is a piece of academic writing. Clear paragraphs (indented lines OR block style) Transactional letters/letter of inquiry  Transactional letters require a reply which may be based on advertisements, other writing input, letters, etc.  For example, a letter which is asking for further information about summer camp based on an advertisement.  Use an appropriate style.  Include all the factual information provided, using your own words. Write in more detail about at least half of them and mention everything.
