The role of the Secretary in business
Secretarys are usually women so most of the people generally think that Secretary's job is to make coffee, wear miniskirt and just be beautiful. Of course that is the most common wrong belief. Secretary is actually really important in the company. But what are Secretary's main tasks and why is she so important in business?
I think that Secretary is very important person in the company. All clients and guests meet the secretary first so she is the first contact of the company and its reputations depends on how great is the customer service. She is like a business card of the company. Secretary greets clients and if needed, forwards clients to the right place .
I think Secretary job gives a lot of variety of different tasks. Secretary has to communicate with all different clients, do paperwork, see if the company runs efficiently , to assist and advise the director in his everyday job. One of the reasons why I wanted to bocome a Secretary is that I like organising and I think I'm good at it, also I like documentation and paper work . I'd rather work as a Secretary than in some pub as a barmaid, because it is definitely more peaceful and steady job than in some pub serving drunk people.
Secretary's main tasks are answering phone calls, receiveing and sending e-mails and documents , meeting different clients, finding out their needs and trying to solve everyday business problems; also arranging meetings and receptions. She has a responsibility of making sure that the organisation runs efficiently. A Company Secretary should ensure the well-being and growth of the company, its Board of Directors and all Stakeholders. She should also provide all types of support and guidance to the directors, helping them in discharging their duties. They should advise the company and its board of Directors on business ethics and corporate governance. A Company Secretary should also ensure that the interest of the stakeholders are safeguarded and should communicate with them on regular basis.
A Company Secretary is the person who is responsible for organizing board meetings, informing board of directors about the impending meeting, formulating the agenda of the meeting with Chairman. Also she's responsible for filling annual reports, They have to maintain the company’s register of members , deal with questions of the shareholders and transfer of share - holding . In my opinion a great Secretary is who is really needed, their absence is noticed and without them it is difficult too manage the company. Secretary is the main information source, she should know everything what takes place in the company.
In conclusion I think Secretary's role in business is becoming more important. After all, Secretary is the face of the company. Institutions reputation depends mostly on how well Secretary does her work. Secretary assists and advises director every day, so we could say that she is like the second director in the company.
